Payments
A booking has two statuses that never mix: its booking status (hold, confirmed, completed, cancelled, expired) and its payment status (unpaid, partially paid, paid). The second is never typed in: it is computed from the payments actually recorded.
The payment link
Every booking has its own link. Copy it, or send it by email from the booking. The customer opens it without an account and sees the villa, the date, the hours, the price and the amount due now — the price cannot be changed from there.
- Paying by card confirms the booking once the payment is really received. Coming back from the payment page without paying never marks anything as paid.
- A cancelled or expired booking can no longer be paid from its link.
- The link cannot be guessed: changing the address does not open another booking.
Deposit, balance, cash and refunds
- Deposit. A booking can ask for a percentage of its price. The link then asks for the deposit; once it is paid, the booking stays partially paid until the full price is in.
- Balance. The balance is always the price minus the payments received. Send balance link emails the same link again, and the card payment asks only for what is still due — computed when the customer opens it, so a payment recorded in between is taken into account.
- Cash or transfer. Record payment adds a payment received outside the link, with its method and its real amount. Several payments can belong to one booking.
- Refunds. Cancelling a booking frees the slot but refunds nothing: a refund is a separate operation, and a refunded amount is never counted as money received.
Your payment methods
Team settings → Payments decides how your organization gets paid. Only owners and admins can change it.
- Your Stripe account. Connect your existing Stripe account by authorising VillaSlot — no secret key to paste, no webhook to configure. Customers then pay on your account, and the money does not go through the platform.
- Cash, bank transfer, or another manual method. A manual method can carry instructions the customer sees, such as your bank details. Reading them does not confirm a payment: your team records the money once received.
- Default payment method. New bookings start with it selected; you can change it per booking.
- At least one method must stay available. Disabling a method never rewrites the payments already recorded with it.
Card payments are a Pro feature. On the Free plan, manual methods remain available.
