Calendar
Calendar shows the bookings of your organization, in its timezone, in three views: Day, Week and Month. Show every villa or filter on one with the Villa selector.
Reading the grid
- Day has one column per villa; Week has one column per day. Each booking shows its villa, its customer, its hours, its booking status and its payment status. A click opens the booking.
- Every booking is followed by its Buffer (see the legend): the turnaround time set in Booking settings. Nobody can book inside it.
- Closed hours are greyed out. A column closed for the whole day is hatched and labelled Villas closed.
- A cancelled or expired booking no longer makes its slot unavailable.
- With Airbnb connected, its nights appear on the same grid. Show Airbnb hides or shows them without changing anything else.
Open the New booking window
Three ways, all opening the same window:
| Gesture | What the window starts with |
|---|---|
| Drag down a free column | The range you drew, rounded to 30 minutes, and the priced duration closest to it |
| Click once on a free slot | That start time and the shortest duration the villa is priced for |
| The New booking button above the grid | The day shown, the first hour of the grid — you pick the time |
In Day view the column gives the villa. In Week view it gives the day, and you pick the villa in the window — unless you filtered the calendar on one villa, which is then used. On a phone, press and hold before dragging.
Nothing opens on a column closed all day, and a gesture that starts on an existing booking opens that booking instead.
Every field of the window
The window states the day and the timezone it works in. The date itself cannot be changed here: close the window and pick another day.
| Field | What it does |
|---|---|
| Preferred payment method | The method the customer's booking link puts forward. Starts on your organization's default; Let the customer choose puts none forward. It never charges anything by itself. |
| Villa | The villa. Under it: its opening hours that day, or Closed that day. |
| Start time | Half-hour steps, within the villa's opening hours. |
| Status | On hold or Confirmed. Starts on On hold, or on Confirmed when the slot is already in the past. |
| Duration | Only the durations the villa has a rate for. A villa with no rate shows Set up rates instead. |
| Customer | Search by name, email or phone, or create one on the spot with New customer. |
Once a villa, a time and a duration are chosen, the window shows the slot, its buffer and the Rate card price, and asks the server whether the slot is free. Create booking stays disabled until the answer is "available" and a customer is selected.
A slot in the past is allowed — to catch up on a shoot you forgot to record — and the window says so. Check the day before you create it.
After Create booking
The booking appears on the grid at once. It is unpaid: confirming a booking never marks it as paid. Nothing is sent to the customer automatically — open the booking to copy or email its payment link.
What the window cannot do
The window takes the rate card price and asks for the full price. For anything else, follow Deposit, negotiated price, override: open the full page, which leads to the New booking page:
- a negotiated price instead of the rate card price;
- a deposit instead of full payment;
- forcing a booking onto a slot that is already taken (owners and admins only).
If the slot is refused — taken, closed, outside opening hours, or blocked by Airbnb — the window says why and nothing is created. Your entries stay in place: change the time or the villa and try again.
